These Terms & Conditions govern bookings and use of services provided by Houston Van Service(“Houston Van Service,” “we,” “us” or “our”). By requesting a quote, confirming a reservation or riding with us, you agree to these terms. If you book on behalf of a group, you accept these terms for everyone in your party.
Reservations
We recommend booking in advance so we can guarantee the right vehicle for your group, though we accept same-day requests whenever a van is available. A reservation is confirmed only once we have sent you a written fare and you have approved it. Please review your confirmation and tell us promptly if any detail, date, time, pickup, drop-off or passenger count, is wrong.
Quotes and flat fares
Fares are quoted flat and in writing before you confirm. The price on your confirmation is the price you pay for the trip as booked, we do not meter and we do not apply surge pricing. Material changes you request on the day (extra stops, additional hours, a different route or a larger vehicle) may change the fare; we will confirm any change with you where practical before it applies. Quotes are valid for the dates and times stated and may be re-quoted if your trip details change.
Payment
Payment is taken by the method agreed at booking. Where we take a card, we (or our payment processor) may place a pre-authorisation hold to verify funds before service, with the final amount captured after the trip is complete. Recurring corporate accounts may be invoiced on agreed terms.
Flight tracking and wait time
On airport pickups we track your flight at IAH or Hobby and adjust the pickup time for early or delayed arrivals at no extra charge. International arrivals include 90 minutes of complimentary wait time from landing to allow for customs and baggage. For other pickups a reasonable grace period applies; wait time beyond the included allowance may be billed at our standard hourly rate, which we will confirm before any additional charge.
Changes and cancellations
Plans change, contact us as early as you can and we will do our best to accommodate. Cancellations made well in advance are not charged. Late cancellations and changes made close to the scheduled pickup may incur a fee up to the full fare, depending on the vehicle and how much notice we receive; we will tell you any applicable fee at the time. Multi-vehicle, wedding and event bookings may have specific cancellation terms set out in your confirmation.
No-shows
If your chauffeur is at the agreed pickup and cannot reach you within the included wait time, and you have not contacted us, the booking may be treated as a no-show and charged in full. If you cannot find your driver, please call us right away, we are reachable 24/7 and will connect you.
Passenger conduct, alcohol and damage
Passengers must wear seat belts and follow the chauffeur’s reasonable safety instructions. Alcohol may be consumed by passengers of legal drinking age only where arranged in advance and permitted by law; illegal drugs and smoking or vaping are not permitted in any vehicle. You are responsible for the conduct of your party and for the cost of cleaning, repair or lost availability caused by spills, damage or excessive mess beyond normal use. We may end a trip without refund if conduct is unsafe, unlawful or abusive toward the chauffeur or others.
Luggage and lost property
Tell us your luggage count when booking so we send a vehicle with room for it. Passengers are responsible for their belongings; while we take care, we are not liable for loss of or damage to luggage or items left in a vehicle. We will make reasonable efforts to return found items.
Parking, tolls and airport fees
Unless your written quote states otherwise, tolls, airport access or permit fees and any parking required for your itinerary may be added to your fare or are payable as incurred.
Limitation of liability
We provide our service with reasonable care and skill and carry commercial livery insurance. We are not liable for delays or failures caused by events outside our reasonable control, including severe weather, traffic, road closures, accidents or acts of third parties. To the fullest extent permitted by law, our total liability arising from a booking is limited to the amount you paid for that booking.
Governing law
These terms are governed by the laws of the State of Texas, and any dispute will be subject to the courts located in or serving Houston, TX.
Changes to these terms
We may update these Terms & Conditions from time to time. The version posted here with the most recent “last updated” date applies to new bookings.
